Rushbanks Campsite Privacy Policy

Last updated: 13 October 2026

Who we are

Rushbanks Campsite is operated by Gareth Bates and James Bates, trading in partnership as Rushbanks Farm Caravan and Camping Site. We are the data controller for the personal information we use to run the campsite and communicate with our guests.

For privacy questions or requests, contact:

Email: hello@rushbankscampsite.co.uk
Post: Rushbanks Campsite, Bures Road, Wissington, Nayland, Suffolk, CO6 4NA
Website: https://rushbankscampsite.co.uk/

This policy covers our website, enquiries, bookings, payments, guest communications and newsletter. We do not operate CCTV at the campsite.

Information we use

Our customer contact records primarily contain names and email addresses. Depending on your interaction with us, we also process:

  • Booking details, including dates, accommodation or pitch choices and the services you request.

  • Enquiries, correspondence, booking changes and your confirmation of additional purchases.

  • Payment amounts, transaction references, payment status, refunds and limited payment-method information provided by Stripe.

  • Newsletter preferences and records of email-marketing consent.

  • Website information, which may include browser and device details, online identifiers and information about pages visited, depending on the services and settings in use.

We receive information from you when you enquire, book, make a payment or subscribe, and through our booking, payment and website providers. If someone books on your behalf, we may receive the information they provide to administer that booking.

Please avoid sending sensitive information that is not needed to manage your request or stay.

Why we use your information

We use booking and payment information to take steps at your request before a contract and to provide the booking or services you purchase. Information necessary for a booking or payment is needed to complete that service.

We use relevant records to meet legal obligations, including accounting and tax requirements. We also have legitimate interests in answering enquiries, administering our business, resolving complaints and disputes, and protecting against fraud or misuse. These interests must be balanced against your rights.

We rely on your consent for newsletter and promotional emails. Website tracking requires its own appropriate legal basis and, where required, a separate consent choice. Newsletter signup is optional and is not a condition of booking or staying with us.

Newsletters and marketing

Our newsletter may include camping and outdoor inspiration, reconnecting with nature, wellbeing, campsite news, exclusive offers and announcements about the 2027 season and future seasons.

We use HubSpot to manage newsletter contacts and subscriptions. Our new newsletter signup forms use an unticked checkbox to ask for explicit consent to marketing emails. Providing your email address for a booking does not automatically subscribe you.

Where an existing InnStyle customer has explicitly consented to Rushbanks email marketing, their necessary contact details and consent records may be transferred to HubSpot to manage that subscription. A booking alone is not treated as marketing consent.

You can withdraw consent and object to direct marketing at any time. Use the unsubscribe link in a marketing email or email us. Withdrawal does not affect processing that was lawful before you withdrew consent. A limited suppression record may be retained to prevent you from being added again inadvertently.

Booking confirmations, payment information and other necessary service messages are separate from promotional emails.

Bookings, payments and saved payment methods

InnStyle provides our online booking and guest-management system. It processes information needed to manage reservations and booking communications. See InnStyle’s privacy policy.

Stripe provides our payment services. Stripe holds the underlying payment details; Rushbanks cannot see the full card or bank-account details. Where a payment method is saved, we use a tokenised reference rather than holding the full details ourselves. Limited information, such as payment status or masked payment-method details, may be available to us.

Guests confirm additional purchases, such as canoe or fire-pit hire, by email before we take payment using a saved payment method. You can contact us to request removal of a saved payment method. Removing it does not remove transaction records that need to be retained for accounting, disputes or legal obligations.

Stripe also processes information for its own responsibilities, including payment security, fraud prevention and regulatory compliance. See Stripe’s privacy policy.

Website and newsletter providers

Squarespace hosts our website and processes website and visitor information. See Squarespace’s privacy policy.

HubSpot supports our customer-contact and newsletter management, including signup forms, consent records and subscription preferences. See HubSpot’s privacy policy and Data Processing Agreement.

Google Analytics helps us understand how visitors use our website. Depending on the configuration, it may process device and browser information, website interactions and online identifiers. See Google’s privacy policy.

These providers may use subcontractors and may also process some information for their own purposes. Their policies explain their respective activities. Necessary information may also be disclosed where required by law or to handle a payment dispute or legal claim.

International processing

Our providers may process information outside the UK, including through overseas support teams or subcontractors. Regional hosting does not necessarily mean all processing remains in that region.

Their published privacy policies and processing terms explain their international-processing arrangements and relevant safeguards. For example, HubSpot’s Data Processing Agreement describes contractual safeguards for applicable international transfers. Contact us for information about the arrangements relevant to your data.

Cookies and similar technologies

Our website and embedded services may use cookies or similar technologies for website functions, bookings, payment security, remembering choices and analytics.

Consent to newsletter emails is separate from consent to website tracking. The requirements for analytics depend on how it is configured and whether a permitted exception applies. Advertising or other tracking must be assessed separately.

Where the website displays cookie-preference controls, you can use them to manage the choices offered. Your browser also provides cookie controls. Blocking some technologies may affect website or booking functions.

How long information is kept

Customer and booking records currently remain in InnStyle, and payment records and saved payment references remain in Stripe; Rushbanks does not currently operate a routine deletion schedule for these records.

Retention needs differ according to the purpose. Relevant considerations include administering bookings and requested purchases, repeat-guest services, refunds and disputes, tax and accounting obligations, and applicable legal time limits. A saved payment method is distinct from an accounting record.

You can ask us to review the information held about you or request removal of a saved payment method. We consider deletion requests in light of any continuing need or legal obligation. A requirement to retain some records does not necessarily justify retaining every part of a customer record.

Newsletter information supports your subscription while it remains active. After you unsubscribe, limited consent-history or suppression information may remain to record your preference and prevent further marketing. Website data is also subject to the retention settings of the relevant provider.

Your rights and complaints

Depending on the circumstances, you can request access to your information, correction of inaccuracies, deletion, restriction of processing, or a portable copy of information you provided. You can object to processing based on legitimate interests and withdraw consent where consent is the basis. Some rights are subject to legal exceptions.

You have the right to object to direct marketing at any time.

Email hello@rushbankscampsite.co.uk to make a request or raise a privacy concern. We may need reasonable information to verify your identity. Rights requests are normally answered within one month, subject to applicable legal extensions or exceptions.

You also have the right to complain to the UK Information Commissioner’s Office: ico.org.uk/make-a-complaint or 0303 123 1113.

Changes to this policy

We may update this policy when our services or practices change. The date above identifies the latest version. Updating a privacy policy does not itself provide consent for a new use of your information.
